Transforming content and architecture to drive more applications

Redeveloping the Working with Children Check, Victoria Website.

“Your ability to translate our old website, 84 complex and content-heavy pages, into 36 clean, clear and fresh plain English pages for our stakeholders was nothing short of amazing. Working alongside the Design Teams and User Experience Teams, you made a lengthy and multifaceted project much easier to achieve.”

— Bree Smith, Project Manager, WWC Check Unit

The who, why and how

Project overview
The Working with Children Check Victoria website presented a significant technical and operational challenge. In collaboration with Melbourne agencies U1 Group and Fluid, we redeveloped this critical Victorian government platform – a project involving complex regulatory requirements, high transaction volumes, and strict security protocols

Challenge

TLSS
We needed to make sure users knew what to do to apply for a Working with Children Check and give them the support they needed to feel confident in doing so.

The Working with Children Check team use a detailed assessment process to determine whether or not applicants can do child-related work in Victoria. Their website needed updating to guide users through the application process, as well as give organisations the information they needed to make sure their employees had a Check.

Some of the key problems users identified with the site were:

  • Not being able to find the right information

  • Unsure of what application was to use

  • Feeling like the site wasn’t professional

  • Too much content on too many pages

Training

We began with a content audit of all 78 pages, using analytics data and U1 Group’s user interviews to determine what to keep, consolidate, or create. U1 Group’s user testing and IA card-sorting validated these findings.

We developed a content strategy to guide the redevelopment and establish a sustainable approach for ongoing content production. This framework was introduced to Working with Children Check stakeholders through a plain English writing workshop.

Through user testing, best-practice guidelines, and stakeholder input, we created a new information architecture that streamlined the site from 78 pages down to 36. The content underwent extensive review with:

  • application
  • policy, and
  • legal experts – both internally and externally.

Working alongside this, we collaborated with Fluid on wireframes, and design.

Once approved, the site moved into build.

Project delivery and outcomes

The new Working with Children Check (WWCC) Victoria website represents a significant improvement over its predecessor. Built with user needs at its core, the site delivers clear, accessible information in plain English, ensuring users can find what they need when they need it.

This user-focused approach has equipped the team with a robust platform capable of handling hundreds of applications daily – all in service of the ultimate goal: keeping Victorian children safe.
